Who May Apply
Exhibitors at the KCLF must be a seller of books (new or used), a publisher, a retailer of book-related products, a non-profit or educational promoter of literary-oriented programs, or an author. The KCLF reserves the right to refuse any participation by any company or organization.
Festival Hours
The Festival is open 10 a.m. to 8:00 p.m. to the public. Exhibitors must remain set up throughout these hours.
Street
The Country Club Plaza will block off Nichols Road from Broadway to Jefferson, running east to west. Pennsylvania will be blocked from Panera to O’Dowd’s, running north to south.
Cost
$180 for 1 table
$270 for 2 tables
$360 for 3 tables
$450 for 4 tables (expands the entire 15x15 ft. tent)
Cost includes table(s) and/or tent, a black-skirted table, 2 chairs per table and individual tent signage, all of which will be pre-set before you arrive. Exhibitors will be responsible for all of their own items to set up before the festival and cleared at the conclusion of the festival.
Electricity will not be available as the event will be held during daylight hours.
For insurance consideration, if exhibitors post their own signage, it must remain within the tent perimeters.
Missouri Sales Tax Form
A Missouri Sales Tax Form will be mailed to exhibitors in the Exhibitor Packets, which will be mailed in early April. If you presently have a Missouri Sales Tax Number it will not be necessary to fill out the form.
Cancellation Policy
Cancellations made before May 3, 2008 will receive a full refund. Cancellations made after May 3, 2008 will receive no refund.
Exhibitor Areas
Kids, Culinary, Poets, Main Stage. Final map will be sent along with your confirmation should you be selected.
Space Criteria
Please do not exceed your allotted space because of concerns regarding public safety and handicap accessibility for attendees. Exhibitors should make every effort to keep storage items underneath tables and not extending out into walking lanes.
The KCLF will not be held responsible for any loss, theft or damage of items inside of your tent or on your table.
Tent /Table Options
Exhibitors may purchase blocks of:
1 Table and 2 Chairs | 2 Tables and 4 Chairs | 3 Tables and 6 Chairs | Whole Tent (15’ x 15’)
Material/equipment cannot extend more than one foot from under the edge of canopy. Tent purchases will be limited to 1 tent per organization.
Weather Considerations
May in Kansas City is usually nice weather, but rain can occur, so be prepared. Participants are encouraged to bring their own additional protective coverings for their merchandise and even waterproof bins for storing materials. The KCLF will not be held responsible for damage done by inclement weather.

Applications will go through a review process. Your acceptance as an exhibitor and your tent/table location will be at the sole discretion of the festival committee.
Payment
Once an exhibitor has been selected and a confirmation packet received, please send in your payment as soon as possible. The deadline date is April 28, 2008. If not selected, you will be receiving a letter of decline. 10 alternates will be chosen for stand-by, in case of any cancellations. If chosen as an alternate, you will be contacted directly by the KCLF.
